tour booking conditions

Please take the time to read and understand the conditions of booking set out below prior to booking a trip.
The information contained in these Booking Conditions is part of your contract with us.
It is your responsibility to read these Booking Conditions carefully and if you do not understand them you then please contact us for further information.
Travel Authentic Asia., hereinafter referred to as ‘TAA,’ accepts reservations subject to these Booking Conditions.



1. The contract

By booking a trip with us you are deemed to have agreed to these Booking conditions. And, no contract shall be deemed to be concluded until the TAA has received:
a. the booking form signed by the Customer; and
b. the deposit or full payment for the Tour.

2. Deposit and payment

A NON REFUNDABLE deposit of 20% of total amount is due and payable when reservations are initiated.
If your booking is made within 45 days of the departure date then the full amount is payable at the time of booking except otherwise another term applied for specific situations.
All payments shall be made either by major credit card or by telegraphic transfer to the appropriate account of Travel Authentic Asia Company Limited.
Any bank charge levied by the sending bank relating to transfer to TAA must be paid by the Client / agent

3. Change in Tour price

All prices quoted are stated in United States Dollars ($) and are valid for travel for the date ranges shown for each journey. Tour price may increase or decrease according to currency fluctuations, taxes or fees chargeable at airports and ports, accommodation costs, sightseeing fees or other variables outside our control.
Any such increase/decrease must be paid by or refunded to the Customer.  During the period of 15 days prior to your arrival date, the tour price shall not be increased by TAA.
If any surcharge results in an increase of more than 10% of the trip price you may cancel the booking within 14 days of notification of the surcharge and obtain a full refund. TAA will not surcharge any booking for travel within the validity once paid in full.

4. Cancellation by the customer

If you cancel the tour reservation, then the effective date of cancellation will be the date TAA receives written notification and will be subject to the following cancellation fees applied per person, per journey
* 45 days or more prior to departure, we will retain the deposit;
* 30 and 44 days prior to departure, cancellation fee is 30% of the total cost
* Between 10 and 29 day prior to departure, the fee is 50% of the total tour cost
* Less than 10 days prior to departure, we will retain 100% of journey price

5. Cancellation by TAA

If the tour is not paid for by the due date, TAA reserves the right to cancel the Tour.
TAA may cancel a trip at any time prior to departure if, due to terrorism, natural disasters, political instability or other external events it is not viable for us to operate the planned itinerary. If we cancel a trip you may choose between us applying the amounts paid toward an alternative trip or receiving a full refund. We are not responsible for any incidental expenses that you may have incurred as a result of your booking such as visas, vaccinations or non-refundable flights.

6. Refund of Unused Services

No refunds can be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the tour prices but not utilized by the tour member during the trip.

7. Change of itinerary

Whilst TAA shall do everything reasonably possible to provide you the tour itinerary as planned, we reserve the right to alter itineraries, transport and/or accommodation. If the major change is made before the departure date, a one week prior written notification of the alterations shall be made to you by the TAA. You may choose between accepting the change, obtaining a refund of money paid on the land portion of the trip only or accepting an alteration offered.
We reserve the right to change an itinerary after departure due to local circumstances or force-majeure. In such emergency circumstances TAA is obliged to curtail, alter, extend or cancel the tour and you shall not be at liberty to maintain a claim for compensation or otherwise for any loss arising as a consequence of curtailment, alteration, extension or cancellation of the tour.
Please note we are not responsible for any incidental expenses that may be incurred as a result of the change of itinerary such as visas, vaccinations or non-refundable flights.

8. Liability and Responsibility

* TAA shall not be liable for any loss, injury, death or damage you may suffer in connection with or arising out of your participation in a trip.
* TAA purchases transportation, hotel accommodations, restaurant services, and other services from various independent suppliers that are not subject to its control. TAA can not, therefore, be liable for the acts and omissions of these third parties.
* TAA shall not be liable for delays in departure, interruption of your vacation arrangements, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, sea fire, breakdown of machinery or equipment, acts of government or other authorities, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, or any other actions, omissions or Force Majeure outside our control.
* TAA’s maximum liability, for any reason whatsoever, will be limited to (in our absolute discretion): (i) the provision of a similar trip to an equivalent value; or (ii) a refund of the total amount received by us from you in connection with your booking
* Neither TAA nor any of its affiliates or subsidiaries shall be or become liable or responsible for any additional expenses of liability sustained or incurred by the tour member as a result of any of the aforementioned causes.
* TAA is not responsible for a client’s failure to comply with customs regulations.
* Many of TAA tour packages include activities which require care attention. Such activities include boarding and going ashore from boats, climbing hills, trekking, cycling, hiking, kayaking etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. TAA, its employees and agents cannot be responsible for any action or event that occurs after its said employees and agents have exercised their duty and taken the necessary care.

9. Special Needs and requests

Traveler is responsible to disclose, prior to booking, to the TAA any physical or mental condition of a member of his party which may be relevant.
TAA reserves the right to decline to provide the tour for a person where, in the opinion of the TAA, that tour would be inconsistent with the special needs of that person.  No liability shall attach to the TAA for the provision of an unsuitable tour for any person where that person’s special needs have not been disclosed at the time of booking.

10. Children and infants

Children from 6 to 12 years old are generally granted a reduction of 30% of the tour price, provided that they are accompanied by at least two full-paying adults and stay in the same room. Children from 2 years to 5 years are charged 50% of the adult price. Infants (under 2 years of age at time of booking) who share bed and meals with parents are charged 10% of the tour price unless otherwise stated in the tour programs.

11. Travel insurance

Traveler is required to have full travel insurance. It is the responsibility of the Traveler to read their insurance policy before they travel and ensure that the insurance scheme provides the Consumer with the requisite level of coverage.

12. Travel documentations

All customers must be in possession of a valid passport and necessary visas or permits at the commencement of travel. All such documents are at the sole responsibility of the customers. Your travel consultant may assist you in applying for the necessary travel documents upon request. TAA accepts no responsibility or liability whatsoever for the failure of clients to obtain appropriate documentation.

13. Complaints and claims

If you have any complaint about your trip, you should inform our tour guide or travel consultant at the time in order that the we can attempt to rectify the matter. If satisfaction is not reached through these means then writing notification must be sent to TAA not later than 30 days after the end of the tour.
If any problem should arise on the ground with the service provided, you should first try to resolve it with the service provider then notify our tour guide or travel consultant. Further more, you should contact the emergency contacts provided in your detailed itinerary. If a problem is not resolved during your journey you should send us written correspondence detailing the nature of your complaint with supporting documentation within 15 days after the end of the tour. We will not consider claims made after this period.
TAA will act as an intermediary between the clients and other services suppliers such as air, train, boat, and hotels in the event of any complaint.

14. Our privacy policy

Any personal information that we collect about you may be used for any purpose associated with the operation of a trip or to send you marketing material in relation to our events and special offers. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the trip. We will otherwise treat your details in accordance with our privacy policy.
You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. You grant us a perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.
We will not pass on your details to any third parties that are not responsible for your travel arrangements. Full details of our privacy policy can be found on our website.

Participation on any tour implies full and unconditional acceptance of the above conditions by the customer.
